Automations Overview

You can automate repetitive tasks of your business with Automations in Agiled. 

What is Automation? 

Automations  lets you automate an action based on a specific trigger. Automations can have only one action and one trigger and they cannot be applied to specific clients or projects. 

Automations are generic and applied to your entire account. You can automate repetitive tasks using Automations. 

Automations work like If/then rules. If a certain trigger conditions are met, action is performed. 

For example, if you want to send a thank you email every time an invoice is paid in your account, you can set up an automation to send an email when the invoice is paid in full. This automation will trigger every time an invoice is paid. 

How does Automation Work?

Agiled Automations consist of two main parts. 

  1. Triggers 
  1. Actions 

What are actions?

Actions are what you want Agiled to do like sending emails, invoices, contracts, applying projects etc. 

What are triggers?

Triggers are when you want Agiled to do those actions. 

[Send the client a contract] [one hour after an Invoice is paid. ]

Actions Available in Agiled Automations. 

Here is the list of available actions in Agiled Automations. 

Send Email to Assigned Contacts

You can send an email to the assigned contact according to the trigger when certain conditions are met using this action.

Add Invoice

You can add an assigned invoice to the customer profile using this action. You can choose from the list of unassigned invoices, when the trigger is fired, this action will apply the invoice to the assigned customer profile.  

Apply Project

Using this action you can apply an unassigned project to the assigned client in trigger. 

Send Form

With this Action, you can send a form to the client so they can fill it out. You can simply choose the form and it will be sent to the assigned contact.

Send Contract

With this action, you can send a contract to your contacts when a trigger is fired. The contract will be created from a template. You can choose the contract template when you are configuring this action. A new contract will be created using the contract template you chose and it will be sent to your customer to sign. 

Send Invoice

In this action you can choose unsent invoice and this invoice will be send when the trigger is fired. 

Archive Project

Use this action to archive an existing project when your chosen trigger is fired.

Change Project Status

Using this action you can change the status of your desired project when certain conditions are met. 

Send Proposal

With this action, you can send a proposal to your contacts when a trigger is fired. You can choose a proposal template when you are configuring this action. A new proposal will be created by using the proposal template you chose and it will be sent to your customer to sign. 

Send Estimate

Send estimates automatically using this action to your clients. You can choose an existing unsent estimate while configuring this action. The estimate you chose and will be sent to your customer. 

Activate Portal

Choose this option to activate client portal access for your client. Please note that this action can only be applied to Contacts with Client Roles. 

Deactivate Portal

You can choose this action to deactivate your client’s access to the client portal. 

Send Appointment Link.

You can send an appointment link for a meeting type to your customers using this action. 

Triggers in Automations. 

Here is the list of triggers in Agiled Automations. 

Invoice Paid In Full:

This trigger is fired when invoices you choose are paid in full. 

Let’s say you want to send a form to a client when the invoice is paid in full. You can choose the invoices in the trigger and when the invoice is paid, your desired form will be sent to the assigned client of the invoice.

Before Project Start Date:

You can choose this trigger if you want to perform an action before the project starts. You can also choose how many days, hours, weeks, or months before the project starts you want the trigger to be fired. 

After Project Start Date:

You can choose this trigger if you want to perform some actions after the project has been started.

You can choose how much time should pass in terms of hours, days, weeks, or months before this trigger is fired. 

After Project End Date:

Choose this trigger if you want to perform some actions after the project has ended. You can also choose the time period when you want the trigger to be fired. 

After the form is completed:

Choose this trigger if you want to perform some actions after the form has been submitted. Choose the form for which you want the trigger to be fired and choose the time period when you want the trigger to be fired. You can also choose All forms in this trigger so the trigger is fired when any of the forms is submitted. 

After the contract is signed by the client

You can choose this action to perform an action automatically when a contract is signed by your client. 

After the Proposal is signed by the client

You can choose this action to perform an action automatically when a proposal is signed by your client.

After Estimate is accepted by the client

You can choose this action to perform an action automatically when an estimate is accepted by your client.
